First Steps into Tasks

It is an activity to be performed, be it a user or a team. In turn, it can be created in isolation as a simple activity to complete or as part of a task flow.


What elements make up a task?


  • Name: Title of the task to perform.
  • Description of the task: Text type field with information about what must be done.
 
Check Mark Button Task Statuses: Stages a task will go through to completion. The basic states are 5:
  • Open: the task has been created but not taken.
  • In Progress: The task has started to be performed.
  • Completed: the task has been completed successfully.
  • Waiting: the execution of the task is temporarily suspended.
  • Completed with snags: the task has been finished but some element may be missing so that it is the correct end of the process.
  • Cancelled: The task has been dismissed.

Sytex also has the functionality of flexible states in the tasks, to create intermediate steps and give specific names to each stage.

 Duration: ideal estimate in days in which the task should be completed. This element is very useful when configuring an SLA for our process.

Lock Required Documents: conditions or requirements that must be met for the task to be completed. They are generated with various system objects, whether: workflows, forms, tasks, file documents, material operations, quotes, etc.

Woman Construction Worker Task Participants: Users who will be associated with the task. These fields include:
  • Supervisor: user who will monitor the task.
  • Assigned user: user responsible for carrying out the activity and advancing it.
  • Assigned contractor: in the event that the task will be carried out by a supplier, the name of the contracting company will be indicated here.
  • Supervisor role: here will go the group role that contains the users that will supervise the task.
  • Assigned role: if the task can be performed by a group of users, the name of the role of that group will go here.

  • Status logs: each status change or modification is recorded with the date and user who made it.


How to know the tasks to be carried out by me or my team?


We can view our tray of tasks to be done in different ways:

  • The 1st and most practical is using the widget found on the Sytex desktop:
This widget takes us to the task panel, where we initially see all the tasks available to be started or completed.
