Check-in / Check-out lets you record when your field workday starts and ends, along with the route you followed and the activities you worked on the way.
It is available in the mobile app (where the technician marks their workday) and on the web (where the supervisor follows it live from Field tracking).
What gets recorded
Start and end of the workday: time and location of the check-in and the check-out, and the total duration.
Route: the location points captured while the check-in is active.
Activities: the forms, tasks and material operations worked during the session, along with the place where they were done.
Location is only recorded while the check-in is active. Checking out stops the recording.
Step 1: Enable check-in
Check-in is not enabled by default. There are two ways to turn it on, and either one is enough.
Per person
In the Staff record (or in a supplier resource), tick the option:
Enable check-in / check-out
Per team
In the Teams settings, edit the team and tick the same option:
Enable check-in / check-out
Every member of that team will be able to check in, without enabling them one by one.
You can also create a team straight from the Field tracking window, with the Create team button in the team picker.
Step 2: Check in from the app
When the feature is enabled, the Check-in card appears on the app home screen.
To start the workday:
Tap Check in.
The app confirms it will record your location: "While your check-in is active, we'll record your location. Check out to stop sharing it."
Done: the card switches to Active, with a pulsing dot and the start time (Since HH:mm).
While the check-in is active:
Tapping the card opens the session panel, with the elapsed time and Your open tasks today. From there you can jump straight into each task.
On Android a persistent notification shows: "Sytex is tracking your location".
On iOS the Check-in active notification appears.
To end the workday:
Tap Check out.
The app shows the Tracked this session summary before confirming.
Once confirmed, location recording stops.
Android: the first time, the app will ask you to exempt it from battery optimization ("Check battery and performance"). You need to accept it so the route keeps being recorded with the screen off.
Offline
Check-in is offline-first: you can check in, check out and work with no signal. Events and location points are stored on the phone and sync on their own when connectivity returns.
A check-in without GPS is still valid: the time is recorded even if the position could not be captured.
Step 3: Follow it from the web
In the menu, go to Resources → Field tracking.
The window has two views, selected in the picker on the top bar.
Team overview
Shows the live status of everyone with check-in enabled.
Filters: by team (All teams, a specific team, or No team for people who have check-in enabled but belong to none), by date range, and the Active now button to show only those on shift.
Summary cards: Members · Active now · Total worked · Average / person · Average start · Average end.
Team members: a list with each person's status, and a Map tab where green pins are active and amber ones are idle.
Live field status: side panel showing who is On shift now and the latest field updates.
Person view
Pick a technician in the selector to see their workday in detail.
Summary cards: Total worked · Days worked · Average / day · Average start · Average end · Average idle.
Daily workday: one bar per day in the selected range, with Worked (blue) and Idle (the gaps between sessions) segments.
Route of the day: clicking a day opens, on the right, the route map and the detail of each session.
Inside each session you will find:
The timeline: the check-in, every task status change and the check-out are always visible; the GPS points in between are grouped ("HH:MM–HH:MM · N GPS points") and expand on tap. Selecting a point flies the map to it and highlights it.
The Activities worked in that session (forms, tasks and material operations), with their times. Clicking one opens the object.
Check-in reminder (ping)
If someone forgot to mark the start of their workday, you can remind them without leaving Sytex:
In the person view, with the bell button next to the technician picker.
In the team overview, with Ping on each person's row, or Ping off-shift to notify everyone who has not checked in yet.
A notification reaches their phone and Sytex confirms with the message "Check-in reminder sent to …".
Georeferenced activities
While the check-in is active, every form, task or material operation created or edited is linked to the session with the place where it was worked.
Working several times in the same place collapses into a single pin.
Working the same activity in different places adds one pin per place.
These points also sync offline, just like the rest of the check-in.
Who can see check-ins?
Each person sees only their own records. To see the rest of the team you need the View trackings report permission, which is also what enables the Field tracking menu entry and the sending of reminders.
Check-in records are read-only: they cannot be edited or deleted from the platform.
FAQs
I forgot to check out, what happens? The session stays open. When the person checks in again, the previous session is closed automatically with the time of that new check-in and is flagged as Automatically closed. That closure does not store a check-out location.
What if I check out without an open session? The event is discarded and creates no record.
I worked all day with no signal, do I lose the record? No. Everything is stored on the phone and uploaded once the device regains connectivity.
I don't see the Check-in card in the app. That means the user does not have the feature enabled yet (neither per person nor per team). Review Step 1 and sign in to the app again.
Where do I see the history of a specific person? In their Staff record, in the Check-ins section, with the date, the in and out times, the duration and the route of each record.
Does check-in replace timeframe-based tracking? Yes. Check-in is the explicit way to record the workday: location is only recorded when the person decides to start, and stops being recorded on check-out.
