Site Access Management

We have a new functionality in Sytex that allows us to track the people who will enter the company's sites.

In a few steps it is possible to configure different types of access, and even automate approvals for each new request.
Additionally, you can use a Site Access Request as a required document within a Workflow. In this way, you can integrate the request of the people who will enter the place with the rest of the activities in the day to day of your work teams.



Configuration

¿ What do you need ?

  • Create access methods (how to physically enter the site: key, bluetooth padlock, retina reader, etc).

  • Create types of access: typing access requests allows you to pre-configure the behavior that each one will have.
In addition to the settings of the previous screenshot, Sytex allows you to set other parameters so that a request of this type is self-approved:
The above values can be combined to achieve greater automation and security for each access request that is based on this type.

Some useful considerations so that access to the site can be created by the corresponding users and successfully:

  • Upload in the Sytex site database, at least, the access method and the client/s that will be able to request access:
  • Upload the list of people authorized to request access within each client.
Only these people will be able to generate a new access for a site associated with this client.


¿ How to generate a new site access ?

Let's see in images how to generate these requests within Sytex:
In the window that follows you will be able to search for requests already created using the filters that Sytex has to speed up searches. You can also create a new request by clicking on the + in the lower right corner:

When creating the request, you will see an image like the following:

  • Client: company to which you belong
  • Site: remember that you can search for it by code or by name
  • Type of intervention: select the appropriate option from the drop-down
  • Start and end date and time of your visit
  • Click "Add" to generate the request

Once you have generated a request for a certain site, you will find a window like the following:
  • Be sure to upload the list of people who will attend, so that the approver of their corresponding Ok
  • By placing the start and end date and time, if the site has other requested visits you will see them in the orange box of the previous screenshot
  • Once this information is completed, you can click on "Submitted" in the upper right corner to ensure that your request reaches the person in charge of approving it.
